The Universities of Shady Grove – University of Baltimore (USG-UB) Student Support Services Coordinator serves as a liaison between the Universities of Shady Grove and the University of Baltimore.  This professional position requires a self-starter with experience in advising of graduate and undergraduate students, document preparation for all incoming USG-UB students, and enrollment and outreach service at the USG campus.  The USG advisor reports to the Associate Provost, Academic Affairs at the University of Baltimore and works collaboratively with the program advisors at UB in all aspects of student completion and success.

The position is the on-site advisor at USG for all undergraduate students enrolled in the Simulation and Digital Entertainment program and the Publications Design program in the Yale Gordon College of Arts and Sciences and for MPA and the Health Systems Management graduate and undergraduate programs in the College of Public Affairs.  Advising responsibilities will extend as new programs and courses are offered at USG.  Simulation and Digital Entertainment is a rapidly-growing program that prepares students for a career in game design.  It currently enrolls approximately 180 students, about a third of whom are at Shady Grove.  Many of our alumni work in the 100+ interactive development companies in the Baltimore-Washington area.  Students study basic game concepts and design, the fundamental of computer programming, 3-D modeling and animation, usability design, the application of simulation to education and other non-entertainment fields, as well as the design of multiplayer games.

The College of Public Affairs offers four programs at the Universities at Shady Grove; undergraduate and graduate programs in Health Systems Management, the Master of Public Administration, and the Doctor of Public Administration.  Students in the Health Systems Management programs undertake study in a multi-disciplinary program focusing on health policy, law, management and analysis.  The Master and Doctor of Public Administration Programs offer students the opportunities to focus on issues of public management in the 21st century.  Approximately 100 students majoring in College of Public Affairs programs enrolled at USG during the 2012-2013 Academic Year.

Responsibilities include the following:
• Support the administration and coordination of the University of Baltimore programs offered at the Universities of Shady Grove; and,
• Provide first-level advising services to UB students enrolled in academic programs offered by UB at USG, including those currently offered by the Yale Gordon College of Arts and Sciences and the College of Public Affairs.

Academic Affairs

• Assist USG Student Services with coordination and facilitation of new student orientation sessions for weekday, evening, and weekend formatted programs.
• Assist all students at USG, with initial advisement upon admissions, monitoring of progress towards degree (including recommendations regarding course substitutions options for USG and main campus programs), and review of degree records prior to graduation.
• Prepare documents and curriculum planning worksheet for all new undergraduate UB students at USG and provide course permission codes for assigned student population.

Enrollment and Outreach

• Schedule new student initial academic advising session for every undergraduate student accepted into the USG programs.
• Contact prospective students to provide program specific information.

• If needed, provide tentative evaluation of transfer credits for prospective students.
• Work with UB and USG representatives to facilitate program specific information sessions.
• Represent UB at multiple UB, USG, and community college transfer day events.
• Forward prospective student information cards to Graduate and Undergraduate Admissions department.
• Work closely with Montgomery College on coordinating information sessions and advising for smooth transfer of MC students into the UB SDE program at USG.
• Work with Montgomery College and Montgomery County Public Schools regarding the “Pathway to USG” for students interested in gaming and simulation.
• Assist with coordination and facilitation of program-related events offered at USG.
• Conduct outreach with federal, state, and local government agencies and health care institutions as appropriate and when requested by the CPA dean/dean’s office.

Administrative Support

• Consult with the Office of the Provost and the respective UB Deans on matters pertaining to curriculum, advisement, and enrollment of UB students at USG.
• Review, in consultation with the Assistant Provost for Financial Affairs and the Associate Provost, Academic Affairs, quarterly invoices provided by USG and other financial and operational documents.
• Place room reservations for upcoming academic year for all programs offered at USG by UB.
• Engage, in an advisory capacity, in UB conversations, as requested by the Deans or others, regarding program growth and enrollment development at USG.
• Perform related duties as assigned with the scope of the position.

Minimum Required Qualifications

• Bachelor’s degree
• Three years of full-time experience in academic advisement, counseling, college student personnel, higher education with an emphasis on student services, or related field
• Ability to coordinate advisement activities with UB program advisors including schedule development, monitoring progress towards program and degree completion, records creation and management, and capability to review degree records prior to graduation
• Experience in working with a diverse student population, including graduate and undergraduate
• Excellent oral and written communication skills
• Excellent time management skills
• Demonstrated ability to work collaboratively with students, student advisors, admissions personnel, faculty, staff and campus administration
• Dedication to student success, particularly from within transfer and community college populations

Preferred Education, Experience, and Skills

• Master’s degree
• Experience in event programming
• Experience in use of social media tools
• Experience in promoting academic programs with diverse student populations
• Knowledge and understanding of student affairs, student advising, academic programming at the graduate and undergraduate levels, and career planning and development
