Phone How To's

    • Access the UB Phone Directory through the phone

      1. Press the Expand key.
      2. With Express Directory highlighted, press the Select soft key.
      3. Use the Navigation keys to scroll through or use the key pad to search the directory. To use the key pad, press the numbers that correspond to the letters in the person's name. As you continue spelling, the matching names begin to narrow. You can spell either the first or the last name.
      4. With the name selected, press the View soft key.
      5. To dial the number, press the Call soft key.
    • Transfer calls

      1. With caller on the line, press Trans soft key.
      2. Dial the extension to which you'll transfer the call.
      3. Press the Trans soft key.
        Note: If you need to cancel the transfer, press the line key of the original call.
    • Retrieve a transferred call that went to voice mail

      If you received someone's voice mail when you were about to transfer a call, you can retrieve the call by:
      1. Pressing8 3.
      2. Press the line key next to the call.
    • Redial the last number called

      Press your line key (where your extension is displayed) twice. Or, to access another number from a recent incoming or outgoing call:
      1. Press the Redial soft key.
      2. Use the up/down navigation keys to scroll through the list of available numbers. If you need more information about an entry, highlight it and press the right navigation key.
      3. When you find the number you want to call, press the Dial soft key.
    • Program numbers for Autodial

      Use Autodial to store frequently called numbers for faster access. Some phones may not have the Autodial option.
      1. On the display screen, press a button labeled Autodial.
      2. Enter the number you want to store. If storing an off campus number, first enter a 9 then enter the phone number.
      3. When done, press the blinking Autodial button. The display name will change from Autodial to the number you entered.
      When you want to dial that number, press the programmed button.
    • Forward calls to another extension

      1. From your phone, press the Forward soft key.
      2. Enter the extension to where your calls should forward.
      3. Press the Forward soft key.
      To cancel the forwarding, press the Forward soft key on your phone. A message will display confirming that forwarding was cancelled.
    • Turn on sound for phone keys

      You can choose between a beep (DTMF Tone) or a Short Click.

      1. Press t.
      2. he Services button.
      3. Select Telephone Options.
      4. Scroll to Local DialPad Tone and select it.
      5. Select the sound you want.
      6. Press the Quit button
    • Display a call timer

      1. Press the Services button.
      2. Select Telephone Options.
      3. Scroll to Call Timer and select it.
      4. Scroll to Call timer: On.
      5. Press the Select button.
      6. Press the Quit button.

Voice Mail How To's

  • Access voice mail using a phone

    1. From your campus phone, press the Msg/Inbox key. From off campus, dial 410.837.6900.
    2. Enter your extension number , then press #.
    3. Enter your password , then press #.
    4. From a campus phone, you can move through messages using the soft keys on the display. Otherwise, some of the basic key commands are:
      • 1 - rewinds message
      • 3 - forwards through the message
      • 6 - skips to next message
      • 7 6 - deletes message (messages that are played but not deleted remain in your mailbox for 14 days)
  • Record voice mail greeting

    1. Dial in to voice mail. (From your phone, press the Msg/Inbox key. From off campus, dial 410.837.6900.)
    2. Enter your extension number , then press #.
    3. Enter your password , then press #.
    4. Press 8 2.
    5. Select the greeting you want to record. 1 for the external greeting, 2 for internal, and 3 for the temporary greeting.
    6. Press 5 to record the greeting.
    7. Press # to finish the recording.
  • Skip listening to someone's voice mail greeting

    Press the # key.
  • Skip ahead when listening to a voice mail message

    Press the 3 button.
  • Forward calls to voice mail

    1. From your phone, press the Forward soft key.
    2. Enter 3999.
    3. Press the Forward soft key.
  • Skip ahead when listening to a voice mail message

    Press the 3 button.
  • Forward a voice mail to another mailbox

    1. From the message you want to forward, press 7 3.
    2. Enter the extension .
    3. Press #5 to record an introduction.
    4. Press 7 9 to send the message.
    Messages forwarded to your e-mail remain in your voice mail box for 14 days. The red light on your phone will not come on as long as message forwarding is enabled.
  • Send a copy of voice mails to your UB e-mail account

    1. At the MyUB Portal, go to the Tools section and click the My CallPilot link.
    2. Log in using your 4-digit extension in the mailbox field and your voice mail password in the password field.
    3. Click the CallPilot Features tab.
    4. Click Message Forwarding Rule.
    5. Check the Enable box.
    6. Click OK.
    Messages forwarded to your e-mail remain in your voice mail box for 14 days. The red light on your phone will not come on as long as message forwarding is enabled.
  • Check voice mail online (My CallPilot)

    You do not need to turn on the Message Forwarding Rule to listen to your voice mail online. Voice mail messages can be accessed online through the My Call Pilot.

    1. From the MyUB Portal, in the Tools section click the My CallPilot link.
    2. Log in using your 4-digit extension in the mailbox field and your voice mail password in the password field.
    3. Click the CallPilot Messages tab. Any voice mail messages in your mail box will display on this screen.
    4. Click the link for the message you want to listen to.
  • Cancel and re-record a message

    These commands can be used to check and edit your message:

    • Replay the message, press 2.
    • Re-record, press 5. If pressed while listening to your recording, it will re-record from the point at which you pressed 5.
    • To end your recording, press #.
