Since its establishment in 1969, The University of Baltimore Foundation has provided financial support and professional guidance to The University of Baltimore. While heading into our fifth decade, the Foundation remains dedicated to ensuring the success of the University of Baltimore and all those it serves.
The University of Baltimore Foundation, Inc. (the “Foundation”) maintains a database of donor information using Blackbaud, Inc.’s Raiser’s Edge software (the “Database”). The Foundation respects the privacy of its past, present and prospective donors (the “Foundation Donors”). The Foundation strongly believes that if the fundraising activities it conducts on behalf of The University of Baltimore (the “University”) are to be successful, Foundation Donors must be assured that information they provide to the Foundation is used responsibly and appropriately. To protect the integrity and confidentiality of personal information provided by or related to the Foundation Donors, the Foundation has adopted the following policy.
Donor Personal Information
The University provides some information on Foundation Donors to the Foundation. In addition, in communications with Foundation Donors, the Foundation asks them to provide their name, class year, date of birth, occupation, place of business, home and business telephone numbers, home and business addresses, e-mail addresses, and information on the donor’s spouse and other family members (the “Donor Personal Information”). The Foundation may also obtain sensitive information concerning the estate plans of Foundation Donors from the Foundation Donors themselves or their legal, accounting, or financial advisors. Donor Personal Information and other information about Foundation Donors may also be obtained by the Foundation from third parties.
Donation histories are created for each of the Foundation Donors who has made a pledge or other commitment to the Foundation or provided a contribution to the Foundation. Donation histories also include information such as areas of interest for future gifts, records of Foundation or University representative visits, or records of other communications with Foundation Donors.
The Foundation only uses Donor Personal Information to develop and implement its fundraising strategy on behalf of the University. Donor Personal Information may be shared with the University solely for fundraising or donor acknowledgement purposes. Donor Personal Information is not sold or distributed in any other manner.
Credit Card Account Information.
The Foundation does not disclose credit card account information provided by Foundation Donors. When Foundation Donors choose to make a contribution to the Foundation using their credit cards, the Foundation submits the information needed to obtain payment to the appropriate clearinghouse. The credit card account information is retained by the Foundation for 30 days solely for the purpose of confirming the contribution transaction.
Use of Donor Personal Information
All Donor Personal Information belongs to the Foundation. All employees and contractors of the Foundation and the University who have access to the Database (collectively the “Users” or singularly a “User”) are prohibited from accessing and using Donor Personal Information for any purpose other than the Foundation’s intended purposes and activities. All Donor Personal Information is to be treated as confidential information and only shared with those employees and contractors who have a need to know the Donor Personal Information in order to carry out the fundraising activities of the Foundation. Donor Personal Information is not to be disclosed to any third party other than an authorized User, the University or the Foundation without the prior written authorization of an officer of the Foundation.
Violations of this Data Policy
If any User suspects that another User has handled Donor Personal Information in a manner that does not comply with this Data Policy, the User must immediately notify the User’s supervisor who must notify the Foundation’s Executive Director.
Violations of this Data Policy by any University or Foundation employee shall be cause for disciplinary action up to and including termination of employment.
This Data Policy shall be incorporated by reference or otherwise made applicable to every independent contractor agreement where the contractor will have access to Database. Violations of this Data Policy by any University or Foundation contractor shall be cause for immediate termination of the contractor’s agreement with the University or Foundation and may result in the imposition of other sanctions including civil damages.
