Panopto has changed some of its long-term on-demand storage options, and to adapt to this, we have implemented a new Office of Technology Services (OTS) Panopto Retention policy to meet the needs of the campus.
Starting on January 1, 2024, the criteria for videos automatically archived will be as follows:
• Videos that have not been viewed in the last semester
• Content that has not been viewed in over a year or more
• Recordings will be marked for deletion if there are no requests once it has been archived after one year.
Panopto files are retained for up to one year. Files will be set to archive within the system after six months of non-usage. Archive files can be available on-demand if you need to use them; it will take some time. However, anyone with access to the folder can request archived videos, and they will receive a notification when it is ready. Please allow up to one week to retrieve videos that have been archived.
Archived videos will still exist inside the folder they are currently in; an option will allow users to access these videos as needed without the help of OTS. You can always request assistance from OTS, but archived videos will be available for viewing after some time. Users will have the same permissions to the videos as before once they have been set to on-demand.
The removal of files from the previous year will occur at the start of the following fall and spring semesters. Before any files are deleted, OTS will send a campus-wide email reminding faculty to check their files and ensure they will retain everything needed for their courses. All users must take the following steps when receiving the email. If the content needs to remain in Panopto, you must contact OTS by the deadline. See the information below on how to retain the files:
• Reply to this email with information on what recording sessions you must retain for upcoming courses or events
• If you want to retain the content for other use or future reference and it is not being used next year, you must export your sessions and store them in another
• Go to Panopto, look at the recording sessions from the previous year, and decide what you will need to save or delete see directions here
• If you need to meet with tech to go over your sessions and work on saving them to your other storage, please fill out a work order/request for service
In your email reply to the Call Center, include the following items: (before the deadline for deletion)
• NetID of the video owner
• Video ID(s) and Folder info
• Course it is used for/purpose for archival.
• When will the next course be offered?
OTS will notify you via Team Dynamix at your UBalt email address that your videos will be deleted. Once a file is deleted from the Panopto server, it is irretrievable. Due to the larger file size of these files, they are not backed up and cannot be retrieved once deleted. The video owner must respond to the OTS email if the user needs the file retained.
If you wish to use your previously recorded content for an upcoming semester, OTS can copy these videos or you can do this yourself. Once course content is copied, the stats for this video will be retained separately from the previous folder.
Deleted Panopto Files
Once a file is deleted from the Panopto server it is irretrievable. Because of the size of these files, they are not backed up and cannot be retrieved once deleted. It is, therefore, a user’s responsibility to respond to the OTS email if the user needs the file retained.
Timeless File Designation
Files can be identified as having valid, reusable content with a longer retention policy. If you have certain files where the content is timeless, please inform OTS of this when you are contacted about the upcoming deletion.
